Manage your team
How to invite team members, set their roles, view activity, and remove people from your workspace.
Your workspace can have as many team members as your plan allows. You control who can join, what they can do, and how active they are.
Invite a team member
To add someone to your workspace:
- Navigate to Team in the sidebar
- Click Invite Member
- Enter their email address
- Select a role for them (see Understand roles below if you're unsure which to choose)
- Click Send Invitation
The person receives an email with a link to join. Invitations expire after 7 days. If they haven't responded, find the invitation under the Pending Invitations tab on the Team page and click Resend.
To cancel an invitation before it's accepted, click Cancel next to the invitation.
To invite several people at once, enter multiple email addresses separated by commas or line breaks before clicking Send Invitations.
Understand roles
Every team member has one of four roles. You assign the role when you invite them, and you can change it at any time from the Team page.
Owner — There is one owner per workspace. The owner has full control: they can manage billing, transfer ownership to another member, and delete the workspace. The owner cannot leave without first transferring ownership to someone else.
Admin — Admins can invite and remove members, change member roles (except the owner's), and manage workspace settings. They cannot access billing or delete the workspace.
Editor — Editors can create, edit, and delete files and context libraries, manage folders, apply tags, and view version history. They cannot invite or remove team members, or change anyone's role.
Viewer — Viewers can read files, view comments, search, and export content. They cannot create or edit anything.
For a full permissions breakdown, see the Role Permissions Reference.
To change a member's role, find them on the Team page, click the menu icon (⋯), select Change Role, choose the new role, and click Save.
View team activity
The Team page shows each member's last seen time and a count of their recent contributions. Click any member's name to see a full activity timeline — the files they've edited, created, or commented on.
For workspace-wide activity, go to the Dashboard and check the Recent Activity section. It shows the latest changes from all team members, including who made each update and when.
Secure the platform logins your team shares
Teams often need to share access to outside platforms — a GitHub repo, a Slack workspace — without handing every member (or their AI) the real login. Connectors solve this: you vault a platform's real token once, and Contextium hands out revocable stand-ins instead.
Access follows your workflows, not your team roster. You allocate a connector to a workflow, and anyone with access to that workflow — any role, any member — can use it, without the real token ever being copied to them or their AI. Every use is logged with which workflow reached out to which platform, and when, so you always have a clear trail even though no one is handling the credential directly.
This means offboarding is simple: when you remove a member below, you don't need to separately rotate any shared logins. The real tokens were never given to individual people in the first place — only to workflows, which stay under your control.
For the full walkthrough, see Use Connectors.
Remove a member
To remove someone from your workspace:
- Find them on the Team page
- Click the menu icon (⋯) next to their name
- Select Remove from Workspace
- Confirm the removal
Their access ends immediately. Everything they contributed — files, comments, edits — stays in your workspace and remains in version history.
